The Role
You'll keep the office running. This role covers day-to-day office administration, HR support, and vendor management for a small but growing financial firm. When we're actively hiring, you'll own the recruiting process. When we're not, you'll focus on office operations, employee support, and keeping everything organized across multiple entities.
What You'll Do
- Manage daily office operations: supplies, scheduling, mail, vendor relationships, and facility coordination
- Own the hiring process when active: post jobs, screen applicants, coordinate interviews, manage onboarding paperwork
- Maintain employee records, track PTO, monitor payroll, and support benefits administration
- Coordinate onboarding for new hires: equipment, accounts, documentation, and first-week setup
- Manage relationships with external vendors: insurance brokers, office suppliers, service providers
- Organize and maintain corporate filings, registrations, and compliance renewals across multiple entities
- Support leadership with scheduling, meeting coordination, and travel arrangements
- Handle incoming calls and visitor management
What We're Looking For
- 1-2 years in office management, administrative support, or HR coordination. Or less if you can demonstrate you're the person who naturally keeps things organized.
- Strong organizational skills. You'll be tracking deadlines, vendors, and employee needs simultaneously.
- Comfortable with hiring workflows: job postings, applicant screening, interview scheduling
- Proficient in Microsoft Office/Google Workspace and comfortable learning new systems
- Clear communicator who can represent the firm professionally to vendors, candidates, and visitors
- Discreet and trustworthy. You'll handle sensitive employee and company information.
- Bachelor's degree or equivalent work experience
- Based in or able to commute to Miami, FL
Preferred
- Experience with ATS platforms (JazzHR or similar)
- Familiarity with payroll systems or basic HR compliance (I-9, W-4, FMLA basics)
- Bilingual (English/Spanish)
- Experience in a financial services or professional services environment
